Fifteen minutes into most new-business calls, inevitably, somebody asks the money question. Fair. PR looks intangible from the outside. You see a headline or a segment. You don’t see the twelve drafts, the reporter’s three follow-ups, the asset gathering, the approvals, the pre-interview, the rehearsal, the embargo dance, the monitoring, then the reporting. That gap is where price lives.
I’ve run a PR firm for almost 18 years. Here’s the plain-English version of what you’re paying for and how to tell if it’s worth it.
What are you actually buying?
Discovery that shortens the learning curve
Intake, stakeholder interviews, docs review, competitive scan, message mapping. This is where we align communications with business goals so tactics don’t drift.A strategy you can measure
A written plan with objectives, audiences, narratives, channels, timelines and how we’ll measure success. No plan, no proof.Real-time judgment
When news breaks or a competitor moves, we adjust fast without losing the thread.PR software that does the heavy lifting
We invest almost $100,000 in media databases, monitoring and analytics tools that help us do the work for you faster and more accurately, from finding the right reporters to tracking coverage and proving impact.Relationships you don’t have to rent twice
Editors, producers, analysts and creators who answer our calls because we make their jobs easier.Content that gets picked up
Press materials, pitches, bylines, op-eds, thought leadership, spokesperson prep.Activation and logistics
Briefings, events, speaking, awards, social amplification and SEO ties so wins echo across channels.Reporting you can take to a board
KPI dashboards that track coverage quality, traffic, engagement and pipeline signals, not vanity numbers.
Why does it take so many hours?
PR is craft plus timing. Building a credible story isn’t a one-click send. It’s pre-reads, tailoring for each outlet, negotiating angles, prepping spokespeople, coordinating creative, then following through until it lands. Even a “quick” hit can span weeks of setup and days of edits. Good PR looks simple at the end because the messy parts were handled upstream.
Isn’t this just like paying a lawyer?
In one way, yes. You’re buying specialized expertise, time and risk management. The difference is the risk profile. Lawyers keep you out of trouble. PR keeps you out of headlines you don’t want and helps you earn the ones you do. During a crisis, that risk multiplier gets very real. A well-run response team can preserve revenue, restore trust and shorten the recovery arc. That requires 24/7 readiness, a plan and practiced execution.
Where PR creates return beyond clicks
Credibility that advertising can’t buy. Third-party validation changes how decision makers weigh you.
Access to rooms and markets you can’t reach alone. National work gets easier when you can scale with on-the-ground seniors in every major market.
Resilience when something goes wrong. Prepared organizations lose less time and trust because they know who speaks, what to say and when to say it.
Trust that compounds over time. Consistent stories, clear messages and honest responses build a reputation that makes every future launch, hire or raise easier.
A reputational buffer in search. Strong, accurate coverage helps ensure that when people search for you, they see context and credibility, not just one bad review or outdated story.
Issues management before it becomes crisis. Monitoring patterns, feedback and early warning signs lets you address problems at the “annoyance” stage instead of the headline stage.
How smart firms price the work
We price the plan, not the promise. Retainers cover ongoing programs. Projects cover launches, funding news or issues. Under either, you should see:
A written scope tied to business objectives
A timeline with decision points
Reporting that shows cause and effect, not just clip counts
If your team cannot show you the ladder between activity and outcome, you’re financing guesswork. The fix is a measurement framework that connects messages to channels to behaviors to business results. Then review it monthly and adjust.
What drives PR cost up or down?
Ambition and risk - national morning shows, regulated industries or reputation repair take more senior time
Readiness - clear messages and fast approvals reduce friction
Proof - data, customers and spokespeople who can tell a textured story increase hit rate
Surface area - multi-market, multi-channel campaigns require orchestration across teams and tools
Speed - If you want it fast, you are paying for nights, weekends and more senior hands on deck to hit the deadline
Crisis - When something breaks, everything else stops. It is all hands on deck, senior counsel only and sustained intensity until the issue is resolved
A quick reality check on “expensive”
PR feels expensive when expectations are fuzzy. It feels like a value when the work ties to moments that move a business:
Securing the analyst briefings that signal fit and momentum to enterprise buyers
Converting a headline into a sales enablement asset that raises close rates
Standing up a crisis room that turns a volatile week into a steady month with customers and regulators watching
Turning a national feature into a targeted outbound sequence that warms up new markets
Using thought leadership pieces to earn speaking slots where your buyers are in the room
Strengthening employer brand so recruiting, hiring and retention get measurably easier
· Turning media coverage into user intent keyword-focused content and nurturing paths that drive more qualified leads into your pipeline
Questions to ask before you sign
What are the three business outcomes this program will influence and how will we measure each one
Who on your team does the day-to-day work and who is accountable for results
How will you scale activity if a story breaks in five markets at once
What a healthy program looks like after 90 days
A living plan with clear owners, calendars and KPIs
Messages that show up consistently across earned, owned, shared and paid
Wins that compound across channels, plus a pipeline of next stories
A report that a CFO can read in five minutes and see business relevance
So, what does this mean? PR doesn’t cost what it costs because it is mysterious. It costs what it costs because skilled people are doing specific, accountable work that protects and grows real businesses. When you can see the plan, the craft and the scorecard, price makes sense.
